What to send before we write the first period pack
A usable first issue needs four things on the same day: the accepted programme, the last two updates, the budget or cost report that the monthly meeting actually uses, and a named person who can walk the site.
File names help. ‘Programme_revC_accepted.pdf’ is better than ‘final_final2’. If the native planning file is available, send it as well as the PDF. We still issue in PDF; the native file saves a day of reconstructing activity IDs.
Photograph folders should follow zones or floors, not the order they were taken. A dump of 400 images from a phone will be sampled, not catalogued. If you already have a clerk of works album, point us to that instead of duplicating it.
Induction and parking instructions belong in the same email as the documents. Highland sites in particular need a clear arrival time. A missed slot can push the reporting date.
If something cannot be sent — a confidential employer estimate, for example — say what is missing. We will mark the related page as limited rather than guessing a budget line.
